The Most Important Parts of Planning a Destination Wedding: Vetting Vendors

From the pen of a luxury wedding planner: I made a decision to only work with vendors who go through my vigorous vetting process. I check their work, I speak with clients, planners and vendors they worked with previously and of course I have a personal meeting with them. Historically, I’ve worked with a few couples who had very specific vendor preferences. Some were set on booking a social media famous vendor whose work they had admired online, while others chose a vendor primarily because their pricing seemed significantly lower than everyone else’s.


As planners, our role is to advocate for our clients and help bring their vision to life. We always respect a couple’s final decisions. However, in these recent cases, the wedding day didn’t unfold as expected. Deliverables were missed, communication broke down, and the level of service promised simply wasn’t delivered. The result was an uphill battle, stress and the feeling of being let down—not only for the couple but for everyone who had invested time, energy, and trust into creating an unforgettable celebration.


These experiences serve as an important reminder of why vendor vetting is absolutely critical, especially for destination weddings.

Social Media Doesn’t Tell the Whole Story



In today’s digital world, it’s easy to be drawn to a vendor with a large following, stunning content, or celebrity status. While these factors can certainly indicate experience and talent, they don’t always reveal what happens behind the scenes.


A beautiful Instagram feed won’t tell you how responsive a vendor is under pressure, whether they arrive on time, how they handle unexpected challenges, or how they communicate with planners and clients throughout the process.


The true measure of a wedding professional is often found in consistency, reliability, and professionalism—qualities that aren’t always visible online.



The Cheapest Option Can Become the Most Expensive



Budget is an important consideration for every couple, and finding value is always a goal. However, selecting a vendor based solely on price can sometimes lead to costly consequences.


We’ve seen situations where lower-cost vendors lacked the infrastructure, staffing, experience, or contingency planning required for a destination event. In some cases, additional expenses arose later to correct issues or replace missing services. More importantly, the emotional cost of stress and disappointment on such an important day cannot be measured financially.


When comparing vendors, it’s important to evaluate not only what you’re paying, but also what you’re receiving.



Destination Weddings Require an Extra Layer of Trust



Unlike local weddings, destination celebrations involve more logistics, more moving parts, and often less opportunity for face-to-face meetings before the event.


Couples are placing tremendous trust in a team they may only communicate with virtually. This makes vendor reliability even more important. Every supplier—from photographers and florists to entertainment and transportation providers—must work seamlessly together despite often traveling from different locations.

What Professional Vendor Vetting Looks Like



As destination wedding planners, we don’t recommend vendors based solely on popularity or pricing. We look at:


  • Consistent performance over multiple events

  • Professional communication and responsiveness

  • References from past clients and industry partners

  • Financial and contractual reliability

  • Ability to work collaboratively with other vendors

  • Backup plans and contingency procedures

  • Experience working in destination environments



These factors help us build a trusted network of professionals who consistently deliver under real-world conditions.

When planners recommend vendors, it isn’t because of popularity contests or personal preference. It’s because we’ve witnessed these professionals perform repeatedly in high-pressure situations.
